Netherlands Visa Fully Digital: New Application Rules From August 2025

If you are planning to travel to the Netherlands, be aware of a new regulation that takes effect soon. Starting 4 August 2025, all Netherlands Visa Application Centers (VACs) will only accept digitally completed visa application forms. Handwritten or scanned printouts will no longer be valid.

This update, announced by VFS Global, aims to streamline the application process, reduce errors, and shorten processing times.

What Is Changing?

Until now, some applicants submitted handwritten Schengen visa forms. Beginning in August 2025, the Dutch government will require all applicants to complete their visa application forms online only.

Key changes include:

  • Only online-generated visa forms will be accepted
  • No more handwritten forms or scanned copies
  • Applicants must use the Netherlands Ministry of Foreign Affairs portal to fill out and submit the form

The new process ensures consistency and clarity in submitted data, improving efficiency for both travelers and visa officers.

How to Apply for a Netherlands Visa Under the New Rules

Step 1: Create an Online Account

Start by visiting the official visa portal:https://consular.mfaservices.nl/create-account

Create an account to begin your application. The system will guide you through each section, including personal information, travel plans, and visa type.

Step 2: Complete the Digital Form

You will be required to input:

  • Passport details
  • Travel itinerary
  • Purpose of visit (e.g., tourism, business, study, family)
  • Accommodation and sponsorship information

Take your time and review all entries carefully. You can save your progress and return later to complete the form.

Step 3: Prepare Required Documents

Even with a digital form, you must upload scanned versions of essential documents:

  • Printed and signed digital visa application form
  • Passport (valid for at least 3 months after your return, with two blank pages)
  • Two passport-sized photos (Schengen format)
  • Travel insurance covering at least $34,320.62 in medical expenses
  • Proof of accommodation (hotel bookings or invitation letter)
  • Flight reservations
  • Financial proof (bank statements, sponsorship letter)
  • Cover letter explaining your travel plans

Depending on your circumstances, additional documents may be required, such as:

  • Employment contract or school letter
  • Proof of ties to your home country (e.g., property documents, family status)

Step 4: Submit the Application and Book Appointment

After submitting your digital form and uploading documents, you must schedule an appointment at your nearest Netherlands Visa Application Center. During the appointment, you will provide biometric data and any remaining documents.

Why the Digital Transition Matters

  • Reduces application errors
  • Ensures information is legible and standardized
  • Speeds up processing
  • Helps travelers better prepare before their VAC appointment

Frequent travelers may find the new system especially convenient over time.

Final Reminder

From 4 August 2025, submitting a handwritten visa form will lead to immediate rejection. Use the official portal, complete the online form, print the final version, and bring it with your supporting documents to your appointment.
